Payroll/HRIS Specialist

About your role:

​This position will be based in our Malaysia office located in Mid Valley, KL.    


We are seeking someone who is skilled in HRIS and experienced in Compensation & Benefits to collaborate closely with the assistant HR Manager to help ensure accurate and timely payroll processing while championing compensation & benefits programs. 


You will be joining the HR team and create employee records in our HRIS, reviewing and processing staff claims and handling overtime requests.  The ideal candidate must be detail-oriented, capable of streamlining administrative tasks, and maintaining a high level of confidentiality to ensure data integrity, efficiency, and accuracy.    


What you will do:

HRIS
  • Maintain and upkeep the Human Resources Information Systems (HRIS), including but not limited to employee data, claims administration, time and attendance modules.
  • Collaborate with HR and Tech teams to implement system upgrades, enhancements, and integrations.
  • Assist in the implementation of new HRIS modules or functionalities to support evolving business needs.
  • Create ad-hoc reports as requested, utilizing advanced reporting tools and techniques within the HRIS.
  • Maintain confidentiality and security of HRIS data in compliance with company policies and regulations
Benefits & Entitlements Processing
  • Review and process employee benefits and overtime claims 
  • Maintain accurate records of benefits and entitlements in the HRMS.
  • Ensure compliance with company policies, procedures, and legal regulations.
  • Collaborate with other HR members to ensure seamless benefits administration.
  • Communicate benefits information to employees and address their queries.
Payroll & Compensation Management
  • Process end-to-end payroll processing for all employees, including data input, calculations of wages, deduction, and taxes.
  • Ensure accurate and timely payment of salaries, bonuses, commissions, and other payroll-related payments.
  • Review and reconcile payroll reports to ensure accuracy and compliance with company policies and statutory requirements.
  • Handle payroll-related inquiries from employees and provide timely and accurate responses.
  • Coordinate with HR and Finance teams to ensure seamless integration and payroll data with other HR and accounting systems.
  • Stay updated on relevant employment legislation, tax regulations, and statutory requirements to ensure compliance; (MOM, CPF, IRAS)
  • Prepare payroll-related reports for management, government agencies, and auditors as required.
  • Assist in the implementation of payroll system upgrades or enhancements.
  • Participate in payroll-related projects and initiatives as needed.
  • Assist with payroll audits and resolve discrepancies as necessary.
  • Maintain confidentiality of employee payroll information and sensitive financial data.(As list progresses, task importance/time spent decreases)
  • Undertake any other ad-hoc assignments as required

A successful candidate should have:

  • At least 2 years’ payroll experience for Singapore and Malaysia is a must.
  • Degree in Human Resources, Business Administration or related field.
  • Proficiency in payroll software & systems, Microsoft Office/Excel, Google Workspace, and other relevant software applications.
  • Strong understanding of HR processes, including but not limited to employee lifecycle management, benefits administration, and reporting.
  • Excellent attention to details and accuracy in data entry and calculations.
  • Good organizational, time management and project management skills with the ability to multitask.
  • Excellent communication and interpersonal skills, with the ability to interact with employees at all levels.
  • Proactive problem-solving skills and the ability to resolve payroll-related issues effectively.
  • Aptitude for quickly learning and adapting to new software and technology platforms relevant to payroll and HRIS operations. 
  • Understand and well-versed with MOM regulations, Employment Act and HR practices across SEA region.
  • High level of integrity and discretion in handling confidential information.
